Planning & Change Fee Policy

Dapper Dreams Travel By The Geddings
Our expertise, industry relationships, and hands-on service allow us to design curated, well-executed travel experiences. While many vacations within our primary niches are supported by supplier commission, certain itineraries require extensive custom research, advanced logistics coordination, or elevated service time.

In those situations, the following policies apply.

Our Primary Niches

Planning fees are typically not required for standard bookings within:
• Disney Theme Parks
• Sandals & Beaches All-Inclusive Resorts
• Standard cruises for couples or families of up to five

Complex itineraries, multi-resort stays, split stays, custom air routing, large groups, or specialty requests may require a planning fee even within these categories.

We offer a complimentary 30-minute consultation video call to:
• Discuss travel goals
• Confirm budget alignment
• Review expectations and scope
• Determine the level of planning support required

Following this consultation, we will confirm whether a planning fee applies.

Planning Fees

If applicable, planning fees are as follows:

USD $125 – Domestic & Caribbean Travel
(Including U.S., Alaska, Hawaii, Puerto Rico, Canada, Mexico, Caribbean, and standard cruise itineraries)

USD $250 – International & Extended Cruise Planning
This planning fee applies in either of the following situations:

1. Custom International Itinerary Design

When we are designing a tailored international trip from the ground up, including:

• Multi-city or multi-country routing
• FIT-style itinerary development
• Independent hotel selection and vetting
• Private transfers and rail coordination
• Custom excursion research and booking
• Flight strategy consultation
• Full logistics sequencing and timing optimization

This applies when we are building a fully customized itinerary rather than booking a pre-packaged supplier program.

2. International Cruise + Expanded Travel Coordination

This fee also applies when your international cruise requires planning beyond the cruise reservation itself, including:

• International flight coordination strategy
• In-destination flights
• Private or shared transfers
• Pre- and post-cruise hotel stays
• Independent shore excursion research and booking
• Extended stays before or after sailing
• Multi-city extensions connected to your cruise
• Immigration & Visa Guidance (where applicable)

While the cruise itself may not require a planning fee, expanded international air, land, and logistics coordination does require dedicated design and management time.

If a fully packaged supplier program is selected with minimal customization and no additional land or air coordination, the planning fee may be adjusted at our discretion.

Following this consultation, we will confirm whether a planning fee applies.

Planning Fee Terms

Planning fees are:
• Pre-paid
• Non-refundable
• Valid for 14 days from proposal review
• Inclusive of up to three proposal options when feasible

Minor refinements are included. Significant destination shifts, structural itinerary changes, or full itinerary redesigns require a new planning fee.

If no booking is secured within 14 days, a new consultation and planning fee may be required, and the proposal will be deactivated.

Planning fees compensate for professional design services, research & planning time allotment, and are separate from supplier deposits.

Walt Disney World Concierge Planning

For clients who would like elevated support beyond standard booking services, we offer optional concierge planning assistance.

Concierge Planning Fees

USD $125 per reservation
For single-family, single-room bookings with one My Disney Experience account structure.

USD $250 per reservation
For multi-family, multi-room reservations and/or multiple My Disney Experience account coordination.

This higher tier applies when planning requires:
• Linking and managing multiple My Disney Experience accounts
• Coordinating Lightning Lane selections across separate accounts
• Staggered dining reservation strategies
• Large party Bibbidi Bobbidi Boutique, Savi’s Workshop, or Droid Depot coordination
• Split stays or complex park day structuring

Concierge Service Includes

• Dining reservation strategy and booking assistance
• Bibbidi Bobbidi Boutique reservation support
• Savi’s Workshop Lightsaber build reservations
• Droid Depot build reservations
• Lightning Lane Multi Pass and Lightning Lane Single Pass planning strategy
• Park day optimization guidance
• Customized touring recommendations based on your travel dates

This service is ideal for families who want structured support navigating high-demand experiences and coordinating logistics across multiple travelers and accounts.

Change Request Policy

We understand that plans evolve. When changes are requested after booking, the following applies.

Supplier-Imposed Fees
Airlines, cruise lines, resorts, and tour operators may impose change penalties according to their policies. These fees are separate from agency service fees.

Agency Service Fees

All change requests must be submitted by way of a change request form which will be provided by email once the trip change process begins.

Minor Changes
Date adjustments, seat assignments, or room category changes
• $25 per person per change

Major Changes
Itinerary redesigns, flight changes, or rebookings
• $50–75 per person per change depending on complexity

Last-Minute Changes
Within 14 days of travel
• $100 per person per change

Change fees are non-refundable and apply per traveler.

Referral Incentive Program

We value the trust you place in us and are grateful when you refer friends and family to Dapper Dreams Travel By The Geddings.

When a referred client completes their trip, the following referral credit will be issued to the referring client for use on a future booking.

Referral Credit Matrix

Credit is based on the final paid trip value of the referred client’s reservation.

$3,000 – $5,000 trip value ? $100 referral credit
$5,001 – $7,500 trip value ? $200 referral credit
$7,501 – $10,000 trip value ? $300 referral credit
$10,001+ trip value ? $400 referral credit

Qualification & Terms

• The referred client must complete travel within 18 months of their original booking date for the referral credit to qualify.
• Referral credit is issued only after the referred client has completed travel.
• Credit may be applied toward a future vacation booked with Dapper Dreams Travel By The Geddings.
• Referral credit is a one-time application opportunity per qualifying referral.
• If the referring client cancels the booking in which the referral credit was applied, the credit becomes null and void and will not be reissued.
• Referral credits are non-transferable and have no cash value.
